From timecard to paid invoice

1

Approve timecards

Review and approve hours in vkWorkforce, the same way you do today.

2

Generate the invoice

Build the client invoice from the approved timecards — no re-keying hours.

3

Send with a pay link

The invoice PDF and a secure hosted pay link go to the client's billing contact together.

4

Client pays online

Your client pays by card or bank account (ACH) on a secure payment form.

5

Marked paid

vkWorkforce marks the invoice paid automatically, and the money lands in your vkPay account.

Everything you need to collect

vkPay plugs into the invoicing you already run in vkWorkforce, so getting paid is part of the same workflow as approving hours.

Hosted pay links

Each invoice you send can carry its own secure pay link, so clients can pay the moment they open it.

Card & bank (ACH)

Facilities and clients choose how to pay — by card or directly from a bank account.

Automatic reconciliation

When the client pays, the invoice is marked paid in vkWorkforce. No matching that payment up by hand.

Your money, your account

Payments go straight to your agency's own vkPay account. vkWorkforce records the payment — it never holds the funds.

No card data stored

Card and bank details are entered on a secure form run by a PCI DSS Level 1 certified processor. Neither vkWorkforce nor vkPay stores card or bank numbers.

Void cancels the link

Void an invoice in vkWorkforce and its pay link is cancelled too, so a withdrawn invoice can't be paid through it.

Straight to billing contacts

Send the pay-link email from vkWorkforce directly to the client's billing contact — the invoice PDF and the pay link travel together.

Also in vkPay

vkPay is VisionKraft's payments platform. Beyond the vkWorkforce integration, your vkPay account at pay.vktech.ai includes:

Recurring billing

Subscriptions and recurring charges, managed in vkPay.

Create and send invoices from your vkPay account.

1099-K reporting

Questions agencies ask

Who holds the money?

You do. Client payments go straight to your agency's own vkPay account. vkWorkforce marks the invoice paid, but it never holds the funds.

How can my clients pay?

By card or bank account (ACH), on a secure hosted payment page opened from the pay link in their invoice email.

Do you store card or bank details?

No. Payment details are entered on a secure form run by a PCI DSS Level 1 certified processor. Neither vkWorkforce nor vkPay stores card or bank numbers.

Does vkPay replace payroll?

No. In vkWorkforce, vkPay is for getting paid by your clients. Payroll runs through the sgaBackstop integration, and nothing about it changes when you turn on vkPay.

What if I need to void an invoice?

Void it in vkWorkforce as usual — its pay link is cancelled at the same time.

How do I turn it on?

In vkWorkforce, go to Settings → Payments and connect your agency's vkPay account. From then on, the invoices you send can carry a pay link.
